PRIMARY PURPOSE OF THE POSITION:

Provide administrative, logistical, and organizational support to the Policy & Government Affairs divisions. Plan department meetings, both internal and external; participate in departmental budget planning and decision-making, maintain departmental budget tracking, invoice processing and information. Conduct both short and long term research, analysis and other projects at the request of supervisors.

ESSENTIAL JOB FUNCTIONS:

Administrative Duties: Support the Policy & Government Affairs including but not limited to managing the schedule, arranging travel plans, screening calls, handling mail, drafting and proofing correspondence and memos, creating text and graphics for presentations, helping maintain public and internal website content, copying, faxing, and filing.

Budget/financial duties: Participate in annual budget cycle. Serve as department representative on Accounting Liaison Team. Manage General Policy and Operations budgets with decision-making authority for budget expenditures. Help prepare for quarterly and annual budget reviews. Coordinate compilation of annual budget for division. Process departmental invoices and expense reports.

Meeting Planning Duties: Work with department and association staff to compile appropriate materials for major Meetings. Work with Meetings department in planning meetings both at AF&PA and at outside facilities as needed. (Outside AF&PA, this includes negotiating a cost-effective/conservative contract with a hotel or other meeting facility and working with that facility to ensure a successful meeting) and arrange for meeting needs, including catering, A/V equipment, and other materials.

Projects: Implement both short and long term projects and assignments necessary for the conduct of the divisions. Projects will involve research and analysis and presenting results both verbally and in writing.

QUALIFICATIONS/SKILLS/KNOWLEDGE:

Applicants must be multi-task-oriented ability to work in a fast-paced environment, and a demonstrated ability to exercise independent judgment and discretion with limited supervision. Candidate also must possess excellent writing and proofreading skills, mathematical facility, excellent administrative skills (typing, copying), computer knowledge/skill (e.g., Microsoft Word, Excel, PageMaker (or similar), Outlook, Adobe etc.), attention to detail, ability to grasp new tasks/skills quickly without need for instruction, rapport with co-workers, excellent communication and interpersonal skills. Position also requires the ability to respect confidentiality and exercise discretion in sensitive AF&PA matters and substantive regulatory issues.

EDUCATION/EXPERIENCE REQUIREMENTS:

BA or BS degree and 2-5 years-minimum experience preferred. Knowledge of trade associations, environmental/ regulatory affairs, and the forest and paper products industry helpful.
